Position Title: Executive Administrator
Department: Executive Management Support
Reports Directly to: Executive Management Team
Job Summary
Overall Responsible For:
The Executive Administrator will work closely with our executive management team and other members of the distribution team on day to day basis to make sure everything runs smoothly and on specific projects that will increase productivity and streamline processes at the company.
Duties:
  • Represent company in a positive and professional manner
  • Work closely with all personnel to ensure customer satisfaction
  • Identify areas of improvement in the company and assist in creating/implementing solutions
  • Display exemplary attendance, time management, preparedness, and goal achievement
  • Maintain a clean and organized work area
  • Accurately process customer's documentation needs i.e., MTRs, CofC, Test Certs, PODs, etc.
  • Input or change data into our software system per projects assigned to them
  • Help maintain data in the software system per managers instructions
  • Create and maintain schedules for the executive management team
  • Make any travel arrangements needed by the company
  • Enter, file, and maintain vendors rebates
  • Enter and maintain any special offers from vendors
  • Help with any monthly reports as far as data entry and design
  • Help maintain any social marketing media requirements for the company
  • Fill requests for catalogs, information, or samples
  • Remain current on consumer preferences, changes in local codes and product developments by attending sales meetings, vendor training and trade shows, along with reading and understanding trade journals
  • Create and manage customer sales files for projects
  • Maintain and assign sales leads from managers
  • Tele-marketing for specific projects to gather information
  • Assist in data entering and processing for inventory projects
  • Display proficiency in using personal computer, data entry terminal and other office equipment and software
  • Help create and implement surveys
  • Develop marketing emails and assist in designing other marketing materials
  • Expedite purchase orders
  • Complete monthly reports for inside sales staff
  • Follow company policies and procedures
  • Perform other duties as assigned

  • The ability to work 40 hour work weeks and overtime as needed with the drive to be on time

  • Clean and neat appearance and organizational skills
  • Ability to follow directions/instructions with accuracy while paying attention to detail.
  • Ability to understand and comply with posted rules and procedures.

  • Clean drug test
  • Ability to lift (50-75 pounds) when necessary
